Terms and Conditions

Reservations

Upon receipt of full payment we commence the reservation process for each component of your travel itinerary. Typically a holiday booking process may take 2-4 days for all confirmations to be received, depending on the complexity of the arrangements required. If circumstances change and the requested component is no longer viable to be reserved, ExperienceKart will contact the traveller offering alternative options. However, we will endeavour to obtain confirmed reservations for all components in your travel itinerary as long as practically feasible. Your booking is considered to be confirmed and accepted in respect of all persons travelling when we issue a confirmation to you or your agent by email.

Terms & Conditions

We wish to set out clearly the responsibilities which we, at ExperienceKart Limited, have to you and which you, in turn, have to us when a contract is made between us. A contract will exist once you make a payment and we confirm your booking. We are obliged to provide you with the travel arrangements you have booked with us on the terms clearly stated below and within this website. Your contract is entered into with ExperienceKart Limited, a privately-owned registered company in New Zealand. ExperienceKart may, at any time and without notice, vary any of these terms and conditions or the Prices.

Payments

We are pleased to accept the following payment methods

  • American Express

  • Visa and MasterCard

  • Apple Pay

  • Google Pay

  • Bank  Account Transfer

Prices

  • All costs quoted are in New Zealand Dollars (unless stated) and include Goods & Services Tax at 15%.

  • All tours must be paid for in full at the time of booking.

  • Quoted prices does not include any fees if charged by your chosen payment provider

  • ExperienceKart reserve the right to revise fares from time to time.

Tour Inclusions

  • Pick-up and Drop-off from Auckland City unless otherwise specified.

  • Climate Controlled Transportation.

  • Entrance Fee for Booked Activities. Some destinations may have optional extras that can be purchased directly at site.

  • Refreshments & Water.

  • Meals and Accommodation where specified.

Conditions of Travel

  • ExperienceKart reserves the right to arrange alternative transport, alter tour routes, services or accommodation provided to meet our operational requirements. In the event that ExperienceKart is unable to operate the tour – an alternative option will be provided. If an alternative option is not feasible, then a full refund will be issued. 

  • ExperienceKart reserves the right to cancel the tour if the tour has not met the minimum passenger numbers required for the tour to operate. In the event that ExperienceKart is unable to operate the tour – an alternative option will be provided. If an alternative option is not feasible, then a full refund will be issued. We require a minimum of four people (or equivalent price) to operate our tours.

  • Under the provisions of the Smoke Free Environment Act (1990), coach services are required to be smoke-free. Regular stops are made for passengers’ comfort. 

  • At the time you book your trip, we strongly recommend that you arrange suitable travel insurance to cover any sickness, injury, or loss that may occur. 

  • It is your responsibility to ensure that all necessary travel documents (eg. passports, visas) are valid and effective.

Health & Safety

  • All tours and activities have inherent risks involved and can be dangerous. By booking a tour with ExperienceKart Limited you agree that you understand and accept the risks of the tour and agree to participate. 

  • Some of these tours operate in areas that maybe remote, have rapidly changing and sometimes extreme weather, have difficult to access paths, uneven or steep terrain, moderate to high level of fitness requirements or be close to or on cold water. 

  • While all safety precautions are taken it is the travellers’ responsibility to ensure they have brought with them appropriate clothing and have the appropriate fitness/skill level for each tour. 

  • Please advise any special needs and/or requests at the time of booking and in writing, to ExperienceKart. We will endeavour to meet special requests, but cannot guarantee that they will be, nor will we be responsible if any are not met. If you have any medical conditions or disabilities which may affect your travel arrangements, we need to be advised in writing at the time of booking. If we cannot accommodate your needs/requirements, we will advise you at that time. 

  • ExperienceKart reserves the right to cancel or alter a traveller’s tour if we feel an activity or part of an activity may risk the health and safety of the individual or adversely affect the tour’s operation. 

  • No refunds will be given to travellers in circumstances when the traveller has not advised ExperienceKart of their medical conditions and its severity and decided to continue with the tour anyway.

Liability

  • ExperienceKart shall not be held responsible for any property loss or damage and/or for any damages resulting in sickness, personal injury or death which may arise whilst on tour or when utilising any other service provided by ExperienceKart. 

  • ExperienceKart shall not be liable for any loss or damage of any kind, including indirect or consequential loss or damage, arising directly or indirectly out of a cancellation or abandonment of, or delay to any trip however, caused. 

  • Travellers are reminded that activities such as Luging, Black Water Rafting, Skydiving etc., always have an element of risk. ExperienceKart shall not be held responsible for any loss, injury or damage resulting in any activities beyond its control such as fire, machinery breakdown, civil disturbances, theft or any delays or itinerary changes that may include additional expense that have been brought about by circumstances beyond the company’s control. 

  • ExperienceKart cannot be held responsible for loss of personal belongings. It is the responsibility of the traveller to ensure all their belongings are safe and carry with them at all times. 

  • ExperienceKart is not responsible for the costs of any other travel arrangements due to cancellations or rescheduling of any tour departure. 

  • ExperienceKart will endeavor to adhere to stated departure and arrival times but will not be liable for any failure to meet those times or for any cancellation or delay of any activities or services. 

  • There is no travel insurance cover included in the price of our tours.

  • Any unused or partially used sections of the travel arrangements are non-refundable.

Cancellation Policy - Cancellations By ExperienceKart

  • ExperienceKart reserves the absolute right to cancel any activity, attraction, product or service as a result of health & safety concerns, weather conditions, and insufficient numbers of people on the trips or any other unforeseen event or circumstance. 

  • In the event of a cancellation, ExperienceKart will offer alternative arrangements to a similar value when/where practical. If an alternative arrangement is not feasible, a full refund will be initiated. 

  • All refunds will occur in the currency the product was sold in. If your credit card uses a different currency, the amount refunded may be different from the original amount paid due to exchange rate fluctuations. The operator is not liable for these fluctuations, or any fees your bank charges for purchases in a foreign currency.  

  • No refunds will be given to travellers in circumstances when the traveller has not advised ExperienceKart of their medical conditions and its severity and decided to continue with the tour anyway. 

  • Any unused or partially-used sections of the travel arrangements are non-refundable.

Cancellation Policy - Cancellations By You

The availability and costs of cancellations, changes and refunds depend on ExperienceKart’s own terms and conditions. When you make a booking you agree to be bound by ExperienceKart’s terms and conditions. If you want to cancel your booking you will need to contact ExperienceKart directly by phone or email and check with them if you are able to cancel. 

Cancellation Policy -
Small Group Day Tours

In the event, you have purchased a small group day tour and subsequently wish to cancel it, ExperienceKart may refund your booking at its sole discretion, in which event you will be charged a cancellation fee as follows:

  • Bookings cancelled more than 24 hours from date of travel will incur no cancellation fee.

  • Bookings cancelled less than 24 hours from date of travel will incur a cancellation fee of 100%.

  • Booking amendments less than 24 hours from date of travel will incur a cancellation fee of 100%.

  • No-show on the date of travel will incur a cancellation fee of 100%.

Cancellation Policy -
Private Day Tours

In the event, you have purchased a private day tour and subsequently wish to cancel it, ExperienceKart may refund your booking at its sole discretion, in which event you will be charged a cancellation fee as follows:

  • Bookings cancelled more than 60 days from date of travel will incur no cancellation fee.

  • Bookings cancelled more than 30 days and less than 60 days from date of travel will incur a cancellation fee of 50%.

  • Bookings cancelled less than 30 days from date of travel will incur a cancellation fee of 100%.

Cancellation Policy - Overnight Tours

In the event, you have purchased an overnight tour and subsequently wish to cancel it, ExperienceKart may refund your booking at its sole discretion, in which event you will be charged a cancellation fee as follows:

  • Bookings cancelled more than 60 days from date of travel will incur a cancellation fee of 20%.

  • Bookings cancelled more than 30 days and less than 60 days from date of travel will incur a cancellation fee of 50%.

  • Bookings cancelled less than 30 days from date of travel will incur a cancellation fee of 100%.

Booking Amendments

An amendment fee of NZD $100 will be charged to cover our administration and communication costs. We may also need to pass on any amendment/cancellation fees imposed by our suppliers.

Force Majeure

No refunds will be provided for situations beyond our control in any way for reasons of war, threat of war, riot, civil strife, industrial dispute, terrorist activity, natural or nuclear disaster, fire, adverse weather conditions or other circumstances amounting to force majeure.
